One button in Settings hands you a file containing what your account holds. This is what's in it, what isn't, and why it's a different thing from exporting a Care Plan.
Picking the wrong one is the most common confusion here.
It's a copy of your account's data in a general-purpose format. It is not a standardised clinical record — not FHIR, not EHI, not anything a hospital system will import. It is not a complete copy of everything your providers hold, only what has reached NaviaCAIR. And it is not a backup you can restore from: there is no way to load it back in.

There's nothing to configure, no job to wait for and no email. The file is assembled when you press the button and your browser saves it straight away as naviacair-data.json. On a slow connection or a large account it may take a moment before the download appears.
Press it again. Nothing is queued or reserved, so a second press simply builds a fresh copy — there's no link to expire, nothing to resume, and no limit on how often you can ask.
Any signed-in account, for its own data. The export is tied to the account you're signed in as — not to a patient record, and not to your access level. Being a caregiver, guardian, advocate or viewer on someone else's record makes no difference to it, and there is no way to request somebody else's copy: asking for another account's export is refused.
If you help someone and they want their own copy, they press the button in their own Settings.
It's a single JSON file with a handful of top-level sections. Opening it in a text editor or a browser is enough to look through it.

The care events in your file are the ones you created. Having access to someone else's record doesn't put their care events in your export — a caregiver's file contains their own care events, not the records of the people they help. If you have never created a care event, that section is simply empty.
The export applies the same rules as the app. If you created a care event holding someone else's records and your access to the original documents has since been reduced or withdrawn, the export gives you the record's details and summary but leaves out the document text, and marks it as withheld. Exporting is not a way around a permission you no longer have.
