Add your first record

Five minutes from a folder of paper to a health record you and your care team can actually use. However the record arrives, it ends up in the same place, readable alongside everything else.

Everything lives inside a care event

A care event is a folder for one health situation — “Mom's cardiology workup”, say, or “Dad's knee replacement”. Records, summaries, questions and follow-ups all sit inside it, which is what lets the CAIR Agent read them together rather than one page at a time.

1

Open a care event and choose “Add a record”

From inside the care event, use the add-record button. If this is your very first record, create the care event first — you can rename it later, so don't agonise over the name.

2

Pick how the record comes in

A record can arrive four ways. They all end up in the same place, readable by the CAIR Agent alongside everything else — so choose whichever is least work for you today.

Add a record

Upload a file PDFs, photos of paper records
Paste text Notes, portal messages
Visit recording Record & transcribe an appointment
Connect portal Pull records from MyChart or Oracle Health

Connecting a portal has a guide of its own — connecting a patient portal covers what to choose and what the errors mean.

3

Let NaviaCAIR read the document

Digital files are read instantly. Scanned or photographed pages go through enhanced scanning, which takes up to a minute — the progress panel keeps you posted, and you can leave the tab open while it works.

Reading your document

Extracting text & layout 6 pages

Scanned documents are read with enhanced scanning — you can keep this tab open.

Your plan includes a monthly allowance of enhanced scans for paper records. Digital PDFs and pasted text don't use it.
4

Review privacy before anything reaches the AI

NaviaCAIR detects names, dates and IDs in the record and shows you what it found. Choose what to hide from the AI before the record is analysed. The original document is never changed, and you can adjust this at any time.

Import it into the care event

One tap on Import record and it joins the timeline, the labs table, and the CAIR Agent's knowledge of this care event. Repeat for the rest of the folder — each one makes the picture sharper.

Every record you bring in — upload, paste, or portal pull — counts toward your plan's monthly record intake. Each record's own AI reading is included in that count, free of extra charges.

What counts against your plan

  • Record intake. One per record added, however it arrives. The AI reading of that record is included.
  • Enhanced scans. Only for scanned or photographed pages that need reading off the image. Digital PDFs and pasted text are free of it.
